An exciting opportunity has arisen to work as part of our small (but very busy!) team, providing and maintaining efficient project assistance and administrative support in order to deliver the aims, objectives, strategies and projects contained within our Company Business Plan.
Key Responsibilities
1. To manage the day to day running of the office and reception duties
2. To work closely with the management team to deliver a variety of projects on time and on budget
3. To set up and maintain a library of databases containing accurate names and addresses of retailers, businesses and project groups.
4. To provide comprehensive administrative support to the Management Team including input of financial data.
Key Tasks
- To manage the Company accounts and related financial administration on a day-to-day basis.
- To maintain the levy database.
- To contribute to the pre-planning of projects, sourcing funding and identifying project partners.
- To source products and services required for individual projects, ensuring competitive tendering.
- To carry out project support duties such as emailing, photocopying, printing and mailing.
- To represent the Company by attending meetings and take, prepare and issue minutes as required.
- To assist in organising & participating in Company events, activities & other initiatives as required.
- To carry out any other job-related duties as reasonably assigned by the line manager.
Person Specification
Education, Qualifications & Training
Highers/GCSE’s or equivalent is essential
HNC/HND in Business Administration is desirable.
Experience
Previous administrative experience working with Microsoft Office Suite (at least 1 year)
Previous experience of using Desktop Publisher is desirable.
Practical Skills
Processing of financial data & budgetary awareness along with excellent numerical & written skills are essential.
Awareness of current marketing & communication techniques would be beneficial.
Intellectual Skills/Attributes
Good local knowledge and an awareness of the work carried out by Falkirk Towns Ltd and a sound ability to plan & prioritise effectively, often working to tight deadlines.
Disposition/Attitude
Excellent interpersonal skills; Confident in working without direct supervision for most of the time with support available from Line Manager, as required. Comfortable working collaboratively and co-operatively within a small team, keeping colleagues updated, as required. Due to the nature of the work, the ability to maintain confidentiality & use discretion at all times is essential.
Circumstances/Personal
Current driving licence is essential and access to a vehicle is desirable.
Willing to undertake additional training as required e.g. due to new legislation, expiry of current certification or where it is otherwise deemed necessary.
